Purpose
The purpose of the SHC/LPCH Employee Referral Program is to partner with our most valuable resource; our employees. You know our culture, know the type of person that would succeed in our environment, and most of all, you know people. This program allows us to share in the success of identifying the right talent at the right time and for the right job at SHC/LPCH.
Eligibility
- All employee referrals made on or after June, 1, 2011, are subject to the rules under the SHC/LPCH Employee Referral Program.
- All employees are eligible to participate in the program regardless of status except for Human Resources employees or managers within the chain of command for the specific position.
- The referring employee must be employed at the time of referral and at the time of hire of the referred candidate.
- Tier 1 Payments Only: The referring employee must remain an employee of the organization to be eligible for subsequent bonus payments.
- Tier 1 Payments Only: The referring employee must remain an employee of the organization to be eligible for subsequent bonus payments.
- Referrals Older than Six Months: Any referrals within the system that are older than six months will expire. The referring employee will receive an automated email from the system, notifying them of the change in status. After cancellation, the referring employee must submit a new referral to restart their eligibility for the referral candidate.
How the Program Works
Referral Requirements
- All referral information must be received by Human Resources prior to the candidate's application and indicate the specific job for which he/she may be eligible to apply.
- The referring employee must submit a completed referral form through the SHC/LPCH Employee Referral Program website. All required fields must be complete for the referral to be processed.
- Eligible Referrals: The employee referral bonus applies only to those positions listed that result in regular hires (relief and per diem excluded). Regular hires under the SHC/LPCH Employee Referral Program are defined as positions requisitioned at 0.5 or higher.
- Excluded Referrals: The purpose of our financial partnership is for you to help us identify quality talent that would not otherwise be within our recruitment pool. As a result, we do not offer payouts for referrals involving the following types of hires:
- Current employees (transfers).
- Former employees (rehires).
- Current temporary employees and contract workers, as well as any employees who have had a contractual relationship with Stanford Hospital & Clinics or Lucile Packard Children's Hospital within 6 months of the referral date (i.e. internships, clinical rotations, new graduate RN, volunteer and temporary agency assignments).
Referral Procedure
- Once the referral is submitted to the Department of Human Resources through the SHC/LPCH Employee Referral Program web site, the referring employee will receive an electronic confirmation. The referral system will also send an “Apply Now” email to the person that has been referred at the email address specified by the referring employee. Anytime a change in status occurs on a referral, the referring employee will receive an email notification via the email address they used to enter the referral.
- The program administrator will review all new hires against the system referrals to identify any referral hires. If a referral hire is found, the program administrator will perform an eligibility audit on each referral hire.
- If the referral hire is eligible for payout, the program administrator will update the status of the referral in the referral system to “hire.” If the referral hire is ineligible for payout, the program administrator will update the status of the referral in the referral system to “ineligible.” The referring employee will receive an email notification of the status.
- The payout process will begin after the hire date and new hire orientation dates. As a result, employees should expect payout for the referrals within 2 payroll periods after the referral hire date.
Duplicate Referrals
If duplicate referrals occur, only the first referral received will be eligible for payment.
Selection Procedures
The employment application will be reviewed through the normal hiring procedures. The appropriate Human Resources staff will review the application. If the applicant meets the specified qualifications for the position, the application will be referred to the hiring department for review and evaluation. Ultimately, the hiring manager will make the selection decision for the position based on the most qualified candidate. All information regarding the reason(s) for making a decision not to hire an applicant will remain strictly confidential.
Position Changes (only applies to Tier 1 payouts)
If a referred employee changes to another position that is regular and benefited, the referrer will remain eligible for the referral bonus..
Position & Tier Designations
The HR | Talent Acquisition Team will designate position tiers based on the supply and demand for all open positions. The Team reserves the right to change the designations at any time based on these factors.
Payment Procedures
- The program will pay out referrals based on a tiered position structure. The following payout amounts are valid for their respective tiers:
- Tier 1 - $1,500 (paid in two installments – within 1-2 pay periods after hire date and 180 days after hire date)
- Tier 2 - $500 (paid in full within 1-2 pay periods after hire date)
- Tier 3 - $250 (paid in full within 1-2 pay periods after hire date)
- The second Tier 1 payout is only paid if the referring employee.
- All payouts are subject to standard tax withholding and are processed through the payroll department at SHC/LPCH.
Referral Follow-Ups
Referring employees have one calendar year from the referral hire date to submit a request for follow-up on a referral payout. Any requests made after one calendar year will not be considered.
SHC/LPCH has the authority to make changes or cancel this policy at anytime with or without notice.
